Audio Transcription Security and Privacy: What to Check

Meetings, interviews, customer calls, research sessions, and personal voice notes can contain names, contact details, business plans, health information, or unpublished work. Security therefore covers the source file, the transcript, every export, and any link you create to share the result.

Before uploading, confirm that you own the recording or have permission to process it. Laws and workplace rules differ, so recording consent and transcription permission remain your responsibility.

ScribeZip requires sign-in before a file upload begins. Uploaded media is stored privately and is not published at a public media URL. Transcript history is tied to the signed-in account rather than appearing as an indexable public page.

Private-by-default does not mean risk-free. Protect the email or identity provider used to sign in, use a strong unique password where applicable, and do not leave an unlocked account open on a shared computer.

ScribeZip first tries to extract video audio in your browser. When extraction succeeds and the extracted audio is used, the original video stays on your device. Otherwise the video is uploaded privately and deleted after processing. Audio uploaded directly or extracted from video may be retained for up to 60 days unless you delete it sooner. Account and transcript information is retained while the account is active or while needed to provide the service.

Deleting unused recordings, transcripts, and local exports reduces the number of copies you must protect. For the latest or legally controlling details, read the current Privacy Policy rather than relying on an old screenshot or review.

Producing a transcript requires the selected media to be sent securely to the speech-recognition service used by ScribeZip. Infrastructure, identity, payment, security, and speech providers each operate under their own terms and privacy practices.

Do not upload regulated or highly confidential material unless ScribeZip’s current terms, provider arrangement, and your own compliance requirements are compatible. If you need a specific data-processing agreement, residency guarantee, or certification, verify it before uploading.

An exported file can be copied outside the protections of your account. Share it only with intended recipients, avoid public cloud links for sensitive work, and remove old copies from downloads, email attachments, shared drives, and messaging apps.

If you create a ScribeZip share link, choose whether it should include media, permit downloads, and expire. Disable the link when collaboration ends. Anyone who receives an active link may be able to open what you chose to share.
