Overview

This policy explains how ScribeZip (scribezip.com) handles information when you use our audio and video transcription service.

Information we process

We may process:

• Account data: your name, email address, profile image, sign-in provider, locale, and account timestamps.
• Media selected for transcription: supported audio or video files, or audio that your browser extracts locally from a selected video.
• Transcription data: language settings, processing status, transcript text, timestamps, export data, and error details.
• Usage and security data: IP address, browser information, request timestamps, security signals, API key identifiers, and usage counts.
• Analytics and advertising data: page visits, referral and landing-page details, UTM campaign values, Google advertising identifiers, and events such as sign-up, checkout, and purchase.
• Billing data: subscription, order, invoice, and payment status. A payment service processes payment details; ScribeZip does not store full card numbers.

Why we use this information

We use information to provide transcription, maintain your workspace and history, prevent abuse, enforce plan limits, process payments, troubleshoot problems, improve reliability, understand product usage, measure advertising campaigns and conversions, and comply with applicable law.

Analytics, advertising, and cookies

ScribeZip uses Google Analytics to understand visits and product interactions, and Google Ads to measure campaigns and conversions. These tools may process cookie or similar identifiers, IP address, device and browser information, page and referral details, and product events.

When you arrive through a campaign link, ScribeZip may store first-touch attribution cookies containing the landing page, UTM values, or Google advertising identifiers such as gclid, gbraid, and wbraid for up to 90 days.

For sign-up, checkout, and purchase measurement, the Google tag may receive the email address associated with the event for enhanced conversion matching under Google’s privacy practices. ScribeZip does not send uploaded media or transcript text to Google Analytics or Google Ads.

You can use browser controls to limit or delete analytics and advertising cookies. This may reduce analytics and campaign measurement. Blocking all ScribeZip cookies may prevent sign-in and other core account functions.

Media storage and transcription

Media sent to ScribeZip is kept in private storage and is not published at a public media URL. ScribeZip first tries to extract video audio in your browser. When extraction succeeds and the extracted audio is used, the original video stays on your device and only its audio is uploaded. Otherwise the video is uploaded privately and deleted after processing. Directly uploaded audio and audio extracted from video may be retained for up to 60 days unless you delete them sooner.

To produce a transcript, the selected file is sent securely to the speech recognition service used by ScribeZip.

Do not upload confidential or regulated material unless the current product terms meet your requirements.

API data

API secrets are shown once and stored only as irreversible hashes. API request and usage history is retained for 30 days, then automatically deleted. Financial ledger records for purchases, charges, refunds, and account reconciliation may be retained longer when reasonably necessary.

Service providers

ScribeZip may use infrastructure, identity, payment, security, speech recognition, analytics, and advertising services to operate and measure the product. Analytics and advertising providers currently include Google Analytics and Google Ads. Each service processes data under its own terms and privacy practices.

Retention

We retain account and transcript information while your account is active or as needed to provide the service. API usage history is retained for 30 days. Actual video payloads are deleted after processing; directly uploaded audio and audio extracted from video are retained for no more than 60 days unless deleted sooner. We may retain limited security, transaction, and legal records for longer periods when required.

Sharing

We do not sell personal information. We share information only with service providers needed to operate ScribeZip, when you direct us to do so, to protect the service and its users, or when legally required.

Your choices

You may request access, correction, export, or deletion of your account data by contacting support@scribezip.com. Some transaction or security records may need to be retained where required by law or legitimate operational needs.

Security

We use access controls, private storage, server-side secrets, bot verification, and request limits. No online service can guarantee absolute security.

Children

ScribeZip is not directed to children under 13, and we do not knowingly collect their personal information.

Changes

We may update this policy as the service, providers, or legal requirements change. The current version will be posted here with a revised effective date.
